Database management system is also known as DBMS. DBMS is a software system that uses a standard method of cataloging, retrieving and running queries of data and to control access to it. DBMS usually manages incoming data, organize the data and provides ways for the data to be altered or extracted by users or other programs. Some of the example for DBMS includes MySQL, PostgreSQL, Microsoft Access, SQL server and Oracle.

As for the information retrieval system (IRS), it is designed to provide a necessary utilities, tools and languages that support the end user to perform task in finding information in the system. Besides built-in user interface that facilitates the user in searching, finding and modified the stored data it also can be operated and maintained by private individuals or independent organization. Some of IRS can be accessed directly from the internet. Depending on the character of the information contained in the text output by the IRS, it also can be in documentary, including bibliographic or factual. IRS may have two types, dissemination of information or retrospective retrieval.

For the dissemination of information, IRS can be carry out according to the constant demands of a certain number of users. An efficient feedback is established between the IRS and the user; this feedback allows its requirement to be made more accurate and allows the work of the system to react quickly to the changes in the requirement. Then, for retrospective retrieval, the IRS searches throughout the whole store body of texts that contains the required information. The functions of IRS are it can quickly find useful information within the massive data storage and find it's result by relevance. Besides that, matched stored database in IRS also can provides a way to capture information that already exist in the electronic formats. IRS products are maturing beyond searching and provide information dissemination functions. Then, the major function in IRS is to represent the contents of the analyzed sources in a way that will be suitable for matching user's queries that suits appropriate help for the user to select and to make necessary adjustment in the system based on feedback from the users.

Thus, for the differentiation between the functionalities of both of these system will be recorded in the table below.
